How to Use Our Text Extraction Tool

Before you even begin the upload process, a small amount of preparation can dramatically increase the accuracy of the text extraction.

1Choosing the Right File Format

Our tool supports a versatile range of file types. You can upload:

• Images: JPG, JPEG, PNG, BMP, TIFF
• Documents: PDF (both scanned and native), DOCX, PPTX

2Ensuring File Quality and Clarity

The clarity of your source file is the most critical factor for accurate text extraction. Follow these best practices:

• High Resolution is Key: Use images or scans with a minimum resolution of 300 DPI (dots per inch).
• Even Lighting: Avoid shadows, glares, or spots on the document.
• Straight Alignment: Capture or scan the document so that the text lines are straight.
• Clean and Unobstructed Text: Ensure no fingers, stains, or objects are covering any text.

3Checking File Size and Dimensions

• Size Limit: Be aware of the maximum file size limit for uploads (e.g., 15 MB per file).
• Dimension Limits: Extremely large images might need to be resized to ensure smooth processing.

Once your file is prepared, the actual extraction process is simple and intuitive.

1Step One: Initiating the Upload

• Locate the Upload Zone: On the tool's main interface, find the area labeled "Upload File" or "Drag & Drop File Here."
• Drag and Drop: For the easiest method, drag your file and drop it directly onto the upload zone.
• File Browser Alternative: Click the "Browse" or "Choose File" button to open your computer's file browser.

2Step Two: Selecting the Correct Language

This is a crucial step for achieving high accuracy. The OCR engine is trained on specific language datasets.

• Locate the Language Dropdown Menu: Look for a dropdown menu labeled "Language," "OCR Language," or "Text Language."
• Choose Meticulously: Select the language in which the text is written.

3Step Three: Initiating the Text Extraction

• The "Extract Text" Button: Locate the primary action button labeled "Extract," "Convert," or "Start OCR."
• Click to Process: Click this button to submit your file to our servers.
• Processing Time: A loading indicator may appear. Processing is typically fast for standard documents.

After processing is complete, the results will be displayed clearly on your screen.

1Reviewing the Output Textbox

• The extracted text will appear in a large, scrollable textbox.
• Take a Moment to Review: Glance over the extracted text for any minor errors.

2Step Four: Copying the Text for Use

• Manual Selection: Click and drag to highlight all the text within the output box.
• Using the Copy Button: Click the "Copy to Clipboard" button to copy all text instantly.
• Keyboard Shortcut: After selecting the text, press `Ctrl+C` (or `Cmd+C` on Mac).

3Pasting and Finalizing Your Text

• Navigate to your destination application (e.g., Word, Google Docs, email).
• Paste the text using right-click → "Paste" or `Ctrl+V` (`Cmd+V` on Mac).
• Perform a Final Edit: Make any final edits, formatting, or corrections.

Even the best technology can sometimes hit a snag. Here's how to resolve common problems.

1Issue: "Upload Failed" or "Invalid File" error.

Solution: Check that your file format is supported (.jpg, .png, .pdf). Ensure the file is not corrupted and is under the size limit.

2Issue: Extracted text is full of errors or nonsense characters.

Solution: First, verify that you selected the correct language. If the language is correct, the issue is likely with the source file's quality.

3Issue: The tool cannot extract text from my PDF.

Solution: If the PDF is encrypted or password-protected, you will need to remove the password before uploading.

4Issue: The "Copy" button doesn't work.

Solution: Try manually selecting the text and using the `Ctrl+C` keyboard shortcut. Ensure your browser is up to date.
